A routed enquiry form
Every new enquiry enters one structured form and is directed according to the service the prospective client wants.
Client case study · Beauty services and education
An independent makeup artist and educator was managing most bookings through Instagram messages. Trace Assists created one connected system for capturing enquiries, confirming availability, booking, payment and ongoing follow-up.
The starting point
Prospective clients mainly made contact through direct messages. The artist then had to work out which service they wanted, gather the right information, check availability and explain the next step within an informal message thread.
That made follow-up difficult to track and meant enquiries, booking details, payment and client communication did not have one consistent route. There was also no reliable way to build an email audience beyond social media.
The project expanded beyond a single booking form. The goal became a complete journey that could support both makeup services and the growing education side of the business.
What was designed and built
The build combines operational automation with practical launch support, rather than treating booking and marketing as two unrelated projects.
Every new enquiry enters one structured form and is directed according to the service the prospective client wants.
The artist can confirm whether the requested date or service is available before the correct booking information is sent.
Service-specific booking forms, payment links and immediate invoicing give each confirmed client a consistent next step.
Confirmation emails, reminders and payment-triggered messages keep the client informed without rewriting the same response each time.
The journey continues after delivery with clearer follow-up and an automated request for feedback or a testimonial.
A mailing-list signup, launch landing page, email sequence and supporting content plan created a route for growing an audience and launching a class.
How the journey works
The system does not remove the artist’s judgement. It gives every decision a clear next action and keeps the client informed throughout.
A structured form collects the details needed and identifies the requested service.
The artist makes the decision, then the system sends the relevant response.
The client receives the correct booking form, payment link and immediate invoice.
Consistent communication continues through reminders, follow-up and a testimonial request.
The reported change
Since the client journey and launch foundations were introduced, the business has reported three times as many enquiries and twice the social following. Growth is supported by a process that makes it easier to respond consistently rather than creating more messages to manage manually.
